Order Guides

Manage customer order guides right in the Sales Rep Portal. Add items, reorder them, and build guides from a menu or photo without leaving the Portal.

Reps can now view and manage customer order guides right inside the Sales Rep Portal, without switching over to Storefront. Build a guide the way a customer actually orders, add the items they're missing, and put the items they buy most at the top so ordering is faster for them and for you.

Finding the Order Guides tab

First, open the Sales Rep Portal. Find it from storefront by clicking on the grid icon at the top.

Once in the portal, navigate to the Order Guides tab. Select the customer whose guide you want to work on.

Adding items to an order guide

  1. In the Order Guides tab, open the customer's guide.

  2. Search your catalog for the item you want to add.

  3. Add it to the guide.

Reordering items

Drag items into the order that matches how the customer works, so their go-to products sit at the top of the guide.

Creating an order guide from a menu or photo

Reps can generate a starter guide from a customer's online menu or a photo of an existing menu or invoice. This is a fast way to build a hit list of items to discuss or price.

  1. Go to the Accounts tab and open the account's details page.

  2. On the right, select Create order guide.

  3. Choose one of two options: Online menu or Upload photo/file.

  4. Browse the menu or upload the file, then review the items Pepper detects.

  5. Generate the guide.

Detected items land in a group called ⚡️ Discovered Items ⚡️, and you go straight to the Order Guides tab to review and refine before sharing.

Exporting a price list as a PDF or CSV

Plenty of customers still order off a printed sheet. Reps can turn any order guide into a price list and hand it over as a branded PDF or export it to CSV for the back office. This works for existing customers and prospects alike.

  1. In the Order Guides tab, open the customer's guide.

  2. Use the checkboxes to select the items you want on the price list. The checkbox in the header row selects the full guide automatically.

  3. Click Convert to price quote in the top right.

  4. The guide opens in Price Quotes with the items and pricing carried over.

  5. Adjust prices, quantities, or notes if you want, then click Save.

  6. Click the PDF or CSV icon in the top right of the quote.

The PDF is a branded leave-behind with your contact info on it, which makes it the right pick for printing or emailing to the customer. The CSV is the better pick for Excel or the back office.

Converting a guide to a quote does not change the order guide, the customer's standing prices, or what they see in Storefront. Anything you edit on the quote stays on the quote.

Price list or price quote?

Both come out of the same screen, so the names are easy to mix up.

  • A price list is the whole order guide with current pricing, printed or exported for a customer who orders off paper.

  • A price quote is a proposal on pricing that hasn't been agreed to yet, usually for a prospect or for items the customer isn't buying today.

Either way, you start in the order guide and click Convert to price quote.

What editing an order guide changes today

Editing a guide here updates what the customer sees in their Storefront ordering experience right away. It does not yet change the order entry page. Custom sort order shows up in order entry once partition and shelf-to-sheet sort order support ships, so for now the order entry view may not match the ordering you set here.
