Price Quotes

Quoting customers and prospects on pricing before it becomes an order.

Price Quotes lets sales reps create, save, and share price quotes for prospects and existing customers directly from Sales Hub. Reps can build side-by-side competitor comparisons, propose pricing for new menus or events, and reuse past quotes to move faster on the next conversation.

  2. Add custom items: Quote items that aren't yet in your catalog without waiting on a catalog update.

  3. Sell deeper into existing customers: Propose pricing for items a customer isn't ordering today, like new menus, special events, or items they currently buy from someone else. Standing prices aren't affected.

  4. Leave-behinds for the counter: Export to a branded PDF (with rep contact info) or CSV.

  5. Save and reuse: Quotes save automatically. Duplicate proven templates for new accounts.

How It Works

When to Use Price Quotes

Reps typically reach for Price Quotes in one of two situations:

  • Quoting a prospect to win new business, usually with a side-by-side competitor comparison

  • Quoting an existing customer on items they aren't buying today, such as a special event, a new menu, or items they currently buy from a competitor

Accessing the Tool

Note: The Price Quotes tool is available on web and on tablet via a web browser. It is not yet available in the native mobile app.

From the Sales Hub left sidebar, click Price Quotes (located below Order Entry and Accounts). A new Untitled Quote opens automatically, ready for you to select a customer.

Creating a Price Quote

  1. Click Select customer... and choose the account. Both existing customers and prospects appear in the dropdown.

  1. Add items to the quote by either:

    • Searching the catalog by name or SKU and clicking Add

    • Clicking + Custom Item for items not in your catalog

  2. Enter the Price and Quantity for each item. The line total updates automatically. Pricing here applies only to this quote and does not change standing prices or order guides.

  3. (Optional) Add a Note to a line or the quote overall for promotional pricing, terms, or minimums.

  4. (Optional) Add a competitor for side-by-side comparison (see below).

  5. Click Save in the top right.

Tip: When the customer already buys some of these items, start from a past quote and adjust prices rather than building from a blank slate. See Loading or Duplicating a Quote below.

Adding a Competitor

Side-by-side comparisons are the key wedge for prospect business, and can also be added to existing customer quotes when you're trying to win share away from another distributor.

  1. Click + Add Competitor at the top of the quote.

  2. Name the competitor (Sysco, US Foods, or whoever the account named in conversation).

  3. Enter the competitor's price for each item, typically pulled from a recent invoice the account shared.

  4. The quote auto-calculates and displays your price vs. the competitor's per line, per-line savings, and Total Savings at the bottom.

More than one competitor can be added on a single quote if the account buys across multiple distributors.

Note: Competitor prices are entered manually in this release.

Exporting a Quote

Three icons in the top right of the quote:

  • PDF: A branded leave-behind with rep contact info, line items, your pricing, competitor pricing (if added), and total savings. Best for printing or emailing.

  • CSV: Best for Excel or the back office.

  • Duplicate: Copies the current quote, ready to reassign to a different customer.

Click the icon for the action you want.

Loading or Duplicating a Quote

Every quote saves automatically.

To load: Click the Load Quote dropdown in the top right, find the quote by customer name, click to open, edit, and save.

To duplicate: Open the quote you want to start from, click the Duplicate icon in the top right, reassign to the new customer, adjust items and prices, and click Save.

Duplicating is especially useful when reps are quoting similar item sets across multiple accounts: a pizzeria starter set is going to look a lot like the next pizzeria starter set.

Note: Quotes are saved to the individual rep's account, not shared across the team.

Things to Know

  • Web and tablet only: Mobile support in Serrano is on the roadmap.

  • Manual price entry: Invoice-photo capture is on the near-term roadmap.

  • Quote pricing stays in the quote: It doesn't change standing prices or order guides. Use Price Editing for those.

  • Custom items stay in the quote: They don't get added to your catalog. Work with your admin or use PMC for that.

  • Multiple competitors per quote are supported for accounts buying across multiple distributors.

  • Saved per user: Quotes aren't shared across the team.

Price Quotes vs. Order Entry

Order Entry is for placing live orders against a customer's existing order guide. Price Quotes is for proposing pricing that hasn't been agreed to yet.

  • Use Order Entry when the customer is ready to place an order.

  • Use Price Quotes for a prospect conversation, new menu, special event, or competitive takeaway.
