How to add item specific instructions or notes to an order

Line Item Notes let operators and DSRs add item specific instructions directly on individual products so fulfillment teams receive the details needed to pack and deliver the order correctly. This is especially useful for high touch categories like meat, seafood, and produce where small preferences matter.

The Purpose of Item Notes

Operators and DSRs often need to add details that are not captured by standard item descriptions, such as:

  • Produce preferences: extra firm avocados, greener bananas, smaller lemons

  • Meat and seafood preparation: steaks cut thick, trim fat, fillets portioned, shellfish counted

  • Packing and handling: individually wrapped, freeze instead of fresh, separate packaging

Line Item Notes keep instructions attached to the correct product, reduce miscommunication, and preserve context through the full order lifecycle.

Item Note Types

Memo (Internal Only)

A Memo is an in app reminder tied to an item, meant for internal communication between operators and DSRs.

Examples:

  • Order double next week

  • Customer prefers this size

Memos appear ONLY on the Order Guide item and do not carry into the cart, fulfillment exports, confirmation emails, or order history.

Request (Forwarded to Fulfillment)

A Request is an item specific instruction intended for the distributor’s fulfillment team.

Examples:

  • Cut steaks extra thick

  • Freeze this item

  • Wrap individually

Requests appear in the Draft Order and Cart and flow through checkout, order exports, confirmation emails, and order history.

How to Add Item Notes

  1. Open the Order Guide and Swipe left on a selected item.

  2. Choose whether to add a Memo or a Request, then enter the note text. Select Delete after order is placed for a one time instruction, or leave it unchecked to carry the note into future orders.

After saving, the item will show an indicator that it has a Memo, a Request, or both. Users can return to the item at any time to edit or remove the note.
