Order Editing

Change an order after you place it, before it goes to your distributor.

Written by Tiffany Guo

With Order Editing, Pepper holds your order for a short window after you place it. During that window you can add an item you forgot, change a quantity after counting the walk-in, or move the delivery date, all without calling your rep. Your distributor only receives the final version.

Who gets the most out of it

Kitchens that order before the count is done. Place the order when you have a minute, then adjust quantities once the walk-in and dry storage are counted.

Operations that place a second order for the same delivery. About 1 in 5 orders on Pepper is an add-on to an order already placed for that day. Editing the original keeps everything on one order and one delivery.

Anyone who calls their rep to make a change. Fix it yourself in the app instead of waiting for your rep to re-key it.

Availability

Your distributor turns on Order Editing, and it applies to orders you place in the Pepper Storefront app. Your distributor also needs Multiple Carts turned on.

Note: Orders placed by your sales rep, through Order Agent, or through an integration are sent right away and can’t be edited in Pepper.

How Order Editing works

  • After you place an order, Pepper holds it for an edit window that your distributor sets.

  • Your order is sent when the edit window ends or a set time before your delivery date’s order cutoff, whichever comes first. Orders placed after that point go out right away.

  • If you don’t make any changes, your order goes out as you placed it.

  • Once an order is sent, you can’t change it in Pepper. Contact your sales rep instead.

Note: If your order doesn’t show Edit until after you place it, either your distributor hasn’t turned on Order Editing for your account, or the order was placed too close to the cutoff and was sent right away.

For example, say your distributor’s cutoff is 4:00 PM, with a 30-minute edit window and edits closing 60 minutes before cutoff:

Seeing how long you have to edit

Your order confirmation tells you the deadline: “You can edit it until 5:42pm.” Until then, the order shows Placed · Edit until 5:42pm in your order list and on the order details.

When the order is sent, its status changes to Sent, and you get the order email again with the final items.

Editing an order

  1. Open the order from your order history.

  2. Tap •••, then Edit order.

  3. The order opens as a cart named Edit · Order # followed by your order number, with a banner showing your deadline.

  4. Make your changes. You can change items, quantities, the delivery date, the PO number, and notes.

  5. Tap Update order.

Pepper checks your updated order like a new order, including order minimums, cutoff, and item availability.

Note: Saving an edit doesn’t extend your deadline or change your order number. You can edit again as many times as you like until the deadline.

To cancel your changes, tap Cancel edits. Your order stays as it was last saved.

If the deadline passes while you’re editing

Any changes you haven’t saved are discarded, and you see: “Order editing cutoff time has passed. Your original order was sent and these changes weren’t saved.” The app takes you back to your default cart.

Things to know

  • Storefront orders only. Orders placed by your rep, through Order Agent, or through an integration are sent right away.

  • Sent orders can’t be changed in Pepper. Contact your sales rep.

  • You can’t cancel an order in the app. Contact your distributor, who can cancel a held order before it’s sent.

  • Moving to a later delivery date doesn’t change when the order is sent. The send time stays based on your original order.

  • Prices and availability aren’t checked again when the order is sent. The order goes out as it stood at your last saved edit.

  • Your rep won’t see the order in their system until it’s sent.

Frequently asked questions

  1. I don’t see Edit order.
Either your distributor hasn’t turned on Order Editing, the order has already been sent, or it was placed too close to the cutoff to be held. Orders your rep placed for you can’t be edited either.

  2. My changes disappeared.
The edit deadline passed before you tapped Update order. Your original order was sent as placed. Contact your sales rep if you still need the change.

  3. Why did I get the order email twice?
You get one email when you place the order and another when it’s sent, showing the final items.

  4. Can I cancel my order?
Not in the app. Contact your distributor before the edit deadline and they can cancel it.

  5. Does editing restart the clock?
No. Your deadline stays the same no matter how many times you save.

  6. I changed my order and now it won’t submit.
Your updated order is checked like a new order. Check that it still meets the order minimum and that the delivery date is still open.

  7. My rep says they can’t see my order.
Held orders reach your distributor’s system once they’re sent. Your rep sees the order after the edit deadline.

For distributors

Your Pepper team turns on Order Editing, which requires Multiple Carts. You can start with orders your staff place before opening it to customers. Held orders show in PMC as Placed, with the time they’ll be sent, and you can cancel them before anything reaches your ERP. Invoice-on-order and order emails go out when the order is sent, not when it’s placed. Talk to your Pepper rep about an edit window that fits your routing and picking schedule.
