Blackout Dates and Holiday Overrides

Manage fulfillment date availability in PMC using blackout dates and fulfillment override dates.

Distributor admins have two options for controlling fulfillment date availability in the Pepper admin console:

  • Blackout dates close specific dates so that no orders can be scheduled.

  • Fulfillment override dates (holiday overrides) open an alternate delivery day that would not normally be available, for example a replacement weekday during a holiday week.

Both live on the same page in PMC, under Customers β†’ Blackout Dates, with two tabs: Blackout dates and Fulfillment override dates. Only admins can create, edit, or delete entries on either tab.


Blackout Dates

Admins can set blackout dates in PMC to mark days when the business is not operating and no orders will be fulfilled.

Once set, blackout dates automatically appear as unavailable to all operators placing orders, regardless of fulfillment method (delivery, pickup, etc.). This prevents operators from scheduling orders on closed days, helping avoid confusion and missed expectations.

Common uses include:

  • Public holidays

  • Scheduled maintenance or inventory counts

  • Company-wide shutdowns

How to set a blackout date

  1. In PMC, navigate to the Customers tab and select Blackout Dates from the sidebar.

  2. On the Blackout dates tab, select Create New, then select Blackout date from the dropdown.

  3. Use the calendar to pick the date that should be closed.

  4. Select Save.

Archive of past blackout dates

The Blackout dates list is sorted chronologically. Past blackout dates are collapsed into an archive section at the bottom of the list, making it easier for admins to manage upcoming dates without scrolling through historical entries.


Fulfillment Override Dates (Holiday Overrides)

Fulfillment override dates open an alternate delivery or pickup day for a specific date, so operators can continue placing orders during weeks when the regular schedule is interrupted. A common use case is opening a replacement weekday when a normal delivery day falls on a holiday.

Overrides can apply to all customers, to specific Customer Groups, or to individual customers. Each override carries its own date, cutoff time, fulfillment type, and optional label.

How to create an override date

  1. In PMC, navigate to the Customers tab and select Blackout Dates from the sidebar.

  2. Select the Fulfillment override dates tab.

  3. Select Create New, then select Override date from the dropdown.

  4. In the Delivery date override modal, fill in:

    • Date (EDT): the date to open for delivery.

    • Cutoff time (EDT): the date and time when orders for this override close. Pick a date from the calendar and a time from the time selector, then select Apply.

    • Fulfillment type: select the fulfillment method this override applies to. Options may include All, Delivery, Pickup, and any other fulfillment methods configured for the distributor. Choose All to apply the override to every configured fulfillment method.

    • Label (optional): a short name to identify the override, such as "Memorial day."

    • Customers: choose All customers to apply the override to every customer, or Select customers to scope it to specific Customer Groups or individual customers. The picker supports search across both customer groups and individual customers. After adding a customer group, individual customers can be removed.

  5. Select Save.

The new override will appear in the Fulfillment override dates table with its date, label, cutoff time, and fulfillment type.

Editing or deleting an override date

Hovering over a row in the Fulfillment override dates table reveals a pencil icon and a trash icon at the end of the row.

  • Select the pencil icon to reopen the override and edit any of its fields.

  • Select the trash icon to delete the override.

Precedence: how overrides interact with blackout dates and regular settings

When more than one rule could apply to a given date, the system uses this order:

  1. Fulfillment override date (highest priority)

  2. Blackout date

  3. Regular fulfillment settings

A fulfillment override date will open a delivery day that would otherwise be blacked out or unavailable under regular settings.

Item availability

An override date opens the day for delivery, but it does not change item-level fulfillment rules. If an item is restricted to Tuesday delivery, opening a Friday override will not make that item available on Friday. Existing item availability rules, lead time calculations, and fulfillment day constraints continue to apply as configured.

What operators see

Override dates appear as normal available delivery days in the app. Operators do not see banners or labels indicating that a date is an override. Orders placed against an override date follow the standard order workflow.

Order exports

Order exports to connected ERPs are unchanged. An order placed against a fulfillment override date is exported the same as any other order, using the fulfillment date.
